Job Responsibilities:

  • Perform clients’ orders follow-up and related processes

Personal / Executive Assistant to CEO (25-33k)

As the Executive Assistant to our CEO, you will act as the trusted liaison with his internal/external stakeholders and teams, you will work to ensure that he is able to focus on priority work by leveraging your exceptional organisation, communication, and administrative skills to triage and prioritise incoming requests. No two days will be the same, so if you are someone that enjoys working in a fast-paced environment with variety in your work then this role is for you.

What you will do:

  • Extensive calendar management for the CEO across multiple time zones

  • Acting as the point of contact for internal/external stakeholders requiring time and or action from the CEO

  • Proactively coordinating internal and external meetings inc. agenda preparation, venue and technology, documenting minutes, etc.

  • Travel arrangements including but not limited to flight & hotel bookings, transfers, visa coordination, and other local requirements

  • Preparation and/or distribution of internal communications on behalf of the VPs (including management of team distribution lists)

  • Manage business expenses, personal invoices, bill payment and insurance reimbursements

  • Maintain and update templates for agendas, meeting notes and internal memos

  • Coordinate reservations, meal, and appointments whenever needed

  • Complete day-to-day errands and situational requests

  • Coordinate logistics required for personal events, appearances, or activities

  • Coordinating company and team events e.g. sales kick off, EOY Party, etc.

  • Assistance in preparing documents and presentations Invoice and expense management

  • Ad-hoc reception coverage, office management, and other project tasks as required

Responsibilities:

  • Provide administrative and secretarial support to Asset Management team (Office Leasing), such as handling incoming calls and convert messages to the team with professional manner

  • Provide lease administration support including the preparation of offer letters, side letters, letter of indemnity, heads of terms etc.

  • Prepare and update presentation materials and regular reports related to leasing activities

  • Coordinate meetings, monitor work schedule of the team and maintain master filing and control

  • Coordinate and work closely with Asset Management team and other leasing teams for all tenancy related activities

  • Handle travel arrangements, prepare expenses claims

  • Other ad-hoc project or task assigned

Requirements:

  • Degree holder in Business Administration or related disciplines

  • Minimum 6 years’ of secretarial / administrative experience, candidates from real estate or property companies highly preferred

  • A good team player, self-motivated and attention to details

  • Proficient in Microsoft Word, Excel, PowerPoint

  • Good command in both written and spoken English

About The Role:

  • Reporting directly to the COO

  • You will be the first People Op’s Manager, covering our 4 operating regions and counting.

Specific work streams may include:

  • Develop Recruitment Strategy: From talent lead generation to managing the pipeline, ensuring that the process is smooth and transparent.

  • Business Partnering: work closely with stakeholders and hiring managers on talent acquisition needs including role design, JD drafting, expectations alignment, etc.

  • Employer Branding: be at the forefront of identifying the company’s key values and be the advocate of the company core values

  • Project Management: initiate talent related projects including but not limited to regional alignment, ATS roll-out, and strategies revamp.

Requirements:

  • Bachelor's degree or above.

  • 6-10 years of relevant work experience in tech startups, open to pure external recruiters

  • Proven experience in talent attraction, engagement and acquisition.

  • Ability to adapt and thrive in a quickly evolving and dynamic work environment.

  • Strong communications in collaborating with internal and external stakeholders.
